This policy explains what personal data MyCollectory collects, why we use it, how we protect it and what rights you have.
MyCollectory is operated by Aivion Studios in the Netherlands. We do not sell your personal data, we do not use your activity for advertising profiles, and we do not share your watch history, lists or ratings with the catalog providers. If you have any questions, contact us at hello@aivionstudios.com.
1. Who we are
MyCollectory is a personal media library and discovery platform for movies, series, documentaries and games, operated by Aivion Studios, based in the Netherlands. For privacy questions, requests or complaints, contact us at hello@aivionstudios.com.
2. What data we collect
We only collect the data needed to provide, secure and improve MyCollectory.
Account data
When you create an account, we may store your display name, username, email address and an encrypted password, along with any optional profile information you choose to add, such as an avatar, biography or social links, plus your account settings. Your password is stored in encrypted form; we never see or store it in plain text.
Activity data
When you use MyCollectory, we store activity linked to your account, such as:
- Titles you mark as watched, played, rated, saved or collected.
- Lists and collections you create.
- Reviews, bulletins, comments or other content you publish.
- Follows, likes and other community interactions.
- Requests you submit through the Request a title page.
- Your privacy and visibility settings.
Some activity is public if you choose to make it public, for example public lists, public profile details or public posts. Private account data and private activity are not shown publicly.
Technical data
Like most websites, MyCollectory processes basic technical data to keep the service working and secure: your IP address, browser type, device information, the pages you request, the date and time of access, login and security events, and basic error and performance logs. We use this for security, abuse prevention, troubleshooting and reliability.
Cookies and local storage
MyCollectory uses functional cookies and local storage where needed to make the site work, such as a session cookie to keep you signed in, security cookies, a setting that remembers your cookie choice, and functional settings that improve your experience. None of these are used to build advertising profiles.
3. Why we use your data
- To create and manage your account.
- To let you track movies, series, documentaries and games.
- To save your lists, ratings, watch history and collection.
- To show your public profile, lists or activity when you make them public.
- To process title requests, feedback and support messages.
- To secure the platform and prevent abuse.
- To fix bugs, improve performance and keep the service running.
- To meet legal obligations where required.
4. Legal bases
Under the General Data Protection Regulation, we process personal data on one or more of these bases. Under contract, we process the data needed to provide the account and features you signed up for. Under legitimate interest, we process technical and security data to protect the service and improve it responsibly. With your consent, we handle optional cookies or embedded content that is not strictly necessary. Under legal obligation, we may process or keep certain information where the law requires it.
5. Third-party content and external services
MyCollectory uses trusted external sources for catalog information, images, trailers and embedded content.
The catalog may include data from The Movie Database for movies, series and documentaries, and IGDB for games. Your personal activity is not sent back to these providers. Posters, backdrops and similar images may load from external image sources or content delivery networks connected to those providers.
Trailers and selected videos may be embedded from YouTube. When you load embedded YouTube content, YouTube may process data under its own privacy policy, which can include cookies, playback data and personalisation if you are signed into a Google account. We do not control how YouTube processes data once its content is loaded.
6. Sharing of personal data
We do not sell your personal data, and we do not share your watch history, ratings, lists or profile activity with advertisers. We only share data where it is needed to run the service, for example with carefully chosen providers for hosting, security, email delivery or technical infrastructure. Those providers may only use the data to support MyCollectory, not for their own marketing. We may also disclose information if a valid legal request or applicable law requires it.
7. Public content
Some parts of MyCollectory are public by design, depending on your settings: your public profile, public lists or collections, public reviews, comments or bulletins, and any activity you choose to share. You are responsible for what you publish publicly, and you can edit or delete your own content where the platform allows it.
8. Adult content and age settings
MyCollectory may include adult-rated catalog sections or mature-content indicators. Where this applies, adult content stays hidden, blurred or restricted unless you confirm that you want to access it and meet the required age settings.
We do not knowingly collect personal data from children who are not allowed to use the service. If you believe a child has created an account or shared personal data without permission, contact us so we can review and remove the account where appropriate.
9. Data retention
We keep your personal data for as long as needed to provide your account and the service. Account data is kept while your account exists. Your lists, ratings, watch history and collection are kept until you delete them or close your account. Support messages and title requests are kept as long as needed to handle and document them. Technical logs are kept for a limited period for security and troubleshooting. When you delete your account, we remove or anonymise your personal data within a reasonable period, unless the law requires us to keep certain information longer.
10. Your rights
Depending on where you live and which privacy law applies, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Delete your account and associated personal data.
- Export your personal data where this is technically available.
- Object to or restrict certain processing.
- Withdraw consent where processing is based on consent.
- File a complaint with a privacy authority.
In the Netherlands, you can contact the Autoriteit Persoonsgegevens if you believe your privacy rights have been broken. To exercise your rights, email us at hello@aivionstudios.com. We may need to verify your identity first.
11. Security
We take reasonable technical and organisational measures to protect your data against loss, misuse, unauthorised access, disclosure or alteration. No online service can be completely secure, but we work to keep MyCollectory reliable and well maintained. You can help by using a strong password, keeping your login details private and signing out on shared devices.
12. Changes to this policy
We may update this policy from time to time. When we make important changes, we update the date on this page and, where it makes sense, announce the change on the platform. Continued use of MyCollectory after a change is published means the updated policy applies to you.
